Description

OneDrive CloudMicrosoft OneDrive is ​our cloud storage at Penn College and is an integral component of Microsoft Office 365. With OneDrive you can store, manage and sync your files in the cloud, accessing them on and off-campus from any web-enabled device anywhere, at any time.  When you sign in to OneDrive or any of the Office 365 applications from off-campus on your personal computer or mobile device you will be required to verify your PCT credentials through a multifactor authentication (MFA) process. This helps to keep your data more secure. 

Each user, employee or student, has 1 TB of storage available to him/her through the college's enterprise license. New folders and files such as Word documents, Excel workbooks, PowerPoint presentations, OneNote notebooks, Forms for Excel, and Links can be created directly in OneDrive. Users can also upload files or entire folders to OneDrive from a network or local drive. Just as in Windows Explorer or the Finder App (Mac), files and folders can be sorted by name, modified date, file type, and file size.  OneDrive adds "modified by", and "sharing" as sort options.  Recent [Files] and a search box add to methods to quickly find specific files. Files stored in OneDrive sync automatically as they are updated in any of the Office 365 web-based apps or desktop applications in Office 2019.

Opening OneDrive

Typical of Microsoft applications, you can open your OneDrive from multiple devices or access points, such as those listed below. ​​​Office 365 Dashboard

  • OneDrive link next to your name at the top right of MyPCT Portal.
  • From within Office 365, select OneDrive from the vertical menu at the left. Or, select "All Apps" or the App Launcher to open the Office 365 Dashboard, as shown at right. A link to the Office 365 Dashboard is also available from the quick links on the right side of MyPCT Portal.
  • Enter "OneDrive.com" into the address bar of any web browser and sign in with your PCT credentials. Choose the "work or school account" option when prompted.
  • Enter "OneDrive" into the Search Box next to the Start button on a computer where Microsoft Office 2019 is installed, and open the desktop app. Look for the cloud icon, which is typically blue and pictured above. 
  • Sign in from the bottom of your P.L.A.T.O. Home page or any course home page, as pictured at left below. Once you sign in to your account you can then open OneDrive, Outlook, or Calendar directly from the Office 365 widget, as pictured right below.

Collaboration Microsoft Sharing Icon

Sharing files stored in OneDrive is a key feature of Office 365. Select the framed curved arrow icon of a selected file or folder to start the process. You will just need to identify the person or group of people that you want to share with, enter a message, and choose the permission settings.  The Comments pane makes it easy to collaborate with colleagues and students in real-time or asynchronously. The "Catch Up" widget in Word Online can quickly inform you of updates.

Adding files to P.L.A.T.O.

Faculty can save time and minimize duplicate files by adding a file to a P.L.A.T.O. course module, dropbox, or discussion topic from OneDrive. When the file needs updating, you only need to update it in OneDrive, eliminating complications that arise when multiple versions of a file exist. However, the instructor should consider the "Edit/View" options when sharing files with students for an assignment.  In this case, you want to limit sharing to "view" only. The student will be able to save the file to his/her OneDrive or other storage location, but not edit the one you have in your OneDrive. 

Students can also choose to upload a file from OneDrive to a dropbox, discussion, or quiz, as OneDrive is among the options to attach files.
