Microsoft Stream: Accessing and Sharing Microsoft Teams Recordings

Overview

Whether you are recording a Teams Meeting for later viewing, or using Microsoft Teams to create on-demand tutorials, the captured video is processed and stored in your Microsoft Stream account by default. Microsoft Stream is available to you through your Office 365 Dashboard.

Instructions

Step 1. Access Microsoft Stream

You can access your Microsoft Stream account through the "Office 365 Dashboard" link on the myPCT Portal main page (pictured below), or directly, by going to https://web.microsoftstream.com in a web browser.

In Office 365, you probably will not see it in your list of common apps, so you will have to go to "All Apps" to locate the Stream application. Once you've located Stream, click on the icon to launch the application and proceed to Step 2.

Step 2. Locate Your Recording

You will come to a landing page that looks like this. To access your recorded video(s), simply click on the "My content" link on the main navigation and select "Videos".

You should see a thumbnail image of your video (pictured below). It may still be processing, depending on how quickly you attempted to access the recording. The video will process first, then it will take some extra time for the auto-captioning to complete, followed lastly by your ability to edit the captions.

Step 3. Edit Video Details for Sharing

Once the video completes processing, you can edit the video details in preparation for sharing. To do this, click on the 'pencil icon' (pictured below) and update the video details.

Configure the Details, Permissions, and Options for the video in preparation for sharing. Minimally, you should address the following (pictured below):

Details
  • Name - Ensure that the video name appears as you want it to appear to your viewers.
  • Description - It is optional, but may be useful in giving potential viewers an idea of what the video/tutorial is about.
  • Video Language - Select the desired language for the video.
Permissions
  • If you are sharing this video College-wide, ensure that the box is checked for "Allow everyone in your company to view this video". Alternatively, you can provide access to specific groups or individuals, and even give others permission to edit the video details as an 'Owner'.
Options
  • Ensure that the box is checked to "Autogenerate captions". The automatic captioning is quite accurate and usually only requires minor editing.

Most importantly, to make your configuration changes stick, be sure to click the "Apply" button. Depending how you would like to share the video with your viewers (pictured below), you can choose to share a direct link, target individuals with an email, or copy the code to embed the video in a web page (such as a P.L.A.T.O. content page).
